A clearer refund policy for educational payments and digital transactions.

This policy explains when a refund may be considered, how Brookfield Institute UAE reviews a request, how payment-gateway reconciliation affects processing, and how an approved refund is normally returned to the original payment source.

This Refund Policy should be read together with Brookfield's Terms & Conditions, Cancellation Policy and Privacy Policy.

Refund requests are reviewed individually. A request may depend on the type of fee paid, admission or academic stage, services already delivered, scholarship or discount adjustments, duplicate or erroneous payment status, chargeback activity, payer verification and gateway or banking reconciliation. A submitted request does not itself mean a refund has been approved.

Refund Processing Lifecycle

From refund request to final bank credit.

Brookfield's finance review and the payment provider's processing are separate stages. This distinction helps explain why a refund may be approved before it appears on the payer's account.

The payer or learner provides the transaction reference, learner/application details and reason for the request.

Brookfield checks the fee type, admission stage, services delivered, adjustments and relevant policy eligibility.

Transaction Reconciliation

The original payment, settlement, duplicate status, reversal, dispute or gateway reference may be verified.

Decision & Refund Instruction

Brookfield may approve, partially approve or decline the request and, if approved, initiate the eligible refund amount.

Provider / Bank Credit

The payment gateway, acquirer, card network or issuing bank completes the return to the original payment source.

Eligibility Framework

When a refund may be considered.

The circumstances below explain common refund-review scenarios. Final eligibility remains subject to the relevant fee type, institutional records and the conditions applicable to the learner or transaction.

Common circumstances that may support a refund

  • Verified duplicate payment for the same approved fee item.
  • Payment posted or collected in error and confirmed through finance review.
  • Admission not granted where the applicable fee is designated refundable under Brookfield's rules.
  • Approved institutional cancellation with an eligible refundable balance remaining.
  • Overpayment or reconciliation error resulting in a verified excess amount.

Items that may be non-refundable or require adjustment

  • Application handling or administrative processing already completed.
  • Document review, assessment or other services already delivered.
  • Fees designated as non-refundable at the time of payment.
  • Amounts reduced by discounts, scholarships, credits or prior ledger adjustments.
  • Transactions already subject to a chargeback, reversal or unresolved dispute.

Scope of this policy

This policy applies to refund requests connected to Brookfield Institute UAE admissions, educational fees, programme-related charges, approved administrative services and online payment transactions made through Brookfield's official payment channels.

Eligible refund circumstances

A refund may be considered where a duplicate payment has been verified, a payment was collected or posted in error, an institutional cancellation leaves an eligible refundable balance, or another circumstance is expressly treated as refundable under Brookfield's applicable admissions, finance or programme rules.

Where admission is not granted, refund eligibility depends on the specific fee paid and whether that fee is designated refundable. Payment of a fee does not create an automatic right to refund.

Non-refundable or partially refundable charges

Application handling charges, administrative processing, document review, assessment work, services already delivered and any other fee expressly identified as non-refundable may be excluded from a refund in full or in part.

Where only part of a fee remains eligible after services, adjustments, scholarships, discounts or credits have been applied, Brookfield may approve only the remaining refundable balance.

How to submit a refund request

Refund requests should be submitted through Brookfield's official contact or support channel and should include enough information to identify both the learner record and the original transaction.

  • Payer name.
  • Applicant or student reference, where available.
  • Payment amount and transaction date.
  • Gateway, bank or transaction reference.
  • Reason for requesting the refund.
  • Any supporting evidence reasonably required for review.
Do not send your full card number, PIN, OTP or CVV/card security code when requesting a refund.

Institutional review and supporting evidence

Brookfield may verify the applicant or student account, fee purpose, admissions stage, services already delivered, scholarships or discounts, ledger adjustments, gateway status and settlement records before making a refund decision. Additional documents may be requested where needed to verify the payer, transaction or basis of the claim.

Approved refund method

Where a refund is approved, Brookfield will normally process the eligible amount through the original payment channel where technically and legally possible. This helps maintain transaction traceability and supports payment-provider, anti-fraud and financial-control requirements.

Refunds to the original payment source

For card or electronic payments, an approved refund is normally returned to the original card, wallet or payment account. Brookfield may decline a request to redirect a refund to an unrelated or unverified bank account, card, wallet or third party.

If the original card or account has been closed or replaced, the payer may need to coordinate with the issuing bank or payment provider regarding how the refund is credited.

Processing timeline and final account credit

Refund review begins only after sufficient transaction and learner information is available. Once approved and initiated by Brookfield, the time for funds to appear on the payer's account depends on the payment gateway, acquiring bank, card network, issuing bank, wallet provider and any applicable compliance or fraud-review requirements.

Brookfield cannot guarantee the exact date on which an issuing bank or external provider will display the credit after a refund has been successfully submitted through the payment channel.

Partial refunds, scholarships, discounts and ledger adjustments

Where a fee has already been partly consumed by approved charges or services, or where a scholarship, discount, credit note or other ledger adjustment applies, Brookfield may calculate the refundable amount based on the net eligible balance rather than the original gross payment amount.

Duplicate, failed, reversed or pending payments

If a payment appears debited but the website or Brookfield record shows the transaction as failed or pending, the payer should first allow the transaction status to be verified before making a second payment. Some failed authorizations may be automatically reversed by the issuing bank without Brookfield receiving or settling the funds.

Where Brookfield confirms that the same eligible fee was successfully settled more than once, the duplicate amount may be refunded or otherwise reconciled after finance verification.

Payments made by parents, sponsors, employers or other third parties

Where a parent, sponsor, employer or another authorized third party paid on behalf of the learner, Brookfield may verify the payer and transaction relationship before releasing a refund. An approved refund is normally returned to the original payment source rather than transferred to a different person.

Chargebacks, payment disputes and unresolved reversals

Where a payment is already subject to an issuer dispute, chargeback, provider reversal or similar payment-network process, Brookfield may place the refund request on hold until the transaction status is confirmed. This helps prevent the same amount being returned twice through separate channels.

If you do not recognize a transaction, contact Brookfield promptly and also follow any dispute procedures available through your card issuer or payment provider.

Currency conversion and external bank charges

Brookfield refunds the approved amount through the relevant payment channel in accordance with the original transaction and provider capabilities. Where the payer's account uses a different currency, the issuing bank or payment provider may apply its own exchange rate or charges. Differences caused solely by external currency conversion or bank fees are outside Brookfield's control.

No shipping-related refunds

Brookfield Institute UAE provides educational, administrative and digital services through this website. It does not sell or ship physical consumer goods through the online admissions and fee payment process, so shipping, delivery and cash-on-delivery refund rules do not apply.

Refund decision, communication and escalation

Brookfield may approve, partially approve or decline a refund request based on the applicable policy and verified records. Where additional information is needed, the requester may be asked to provide clarification before a final decision is made.
